Private CRM system for event management

Customer:

A company that organizes offline events in the field of wellness. Collects events for 1000 people on the Black Sea coast.

Tasks:

1. Design a CRM system for registration, accommodation and registration for additional services of event guests.

2. Design a transparent system for accounting for funds and reporting on the past event.

3. Simplify key processes in order to relieve the top manager of the company.

4. Reduce the cost of transferring guests to the event.

5. Organize the flow of guests at the recording desks using the system.

Communication:

Jira was used to set tasks for developers, and Trello was used to work with the customer. Slack was used for communication. For a deeper acquaintance with the processes of the company, they went to their events and studied everything on the spot.

Work process:

To analyze current business processes and tasks, we went to the company's office and observed how the process was going. We analyzed the work of managers and the systems that they used before us. We identified the moments that took the most time and energy of managers. Suggested changes. The work proceeded in iterations.

 

Achievements:

1. We simplified the process of working with guests from the state when only an experienced manager deeply immersed in the company's processes could do it, to the state when anyone can do it after half an hour of preparation.

2. Reduced transfer costs by 2 times thanks to a well-thought-out registration system.

3. Reduced the load on the recording racks.

4. According to surveys, after the introduction of updates, the level of satisfaction of visitors with the management system has increased significantly.
